Running a campaign

A campaign groups everything for one piece of work, such as a pay round or a ballot: its dashboards, trackers, audiences and resource files, with start and end dates. You can take it all live in one click, close it in one click, and copy it for next year. Campaigns live in Admin › Build › Campaigns.

The campaign lifecycle

  1. Create — the campaign starts as a Draft, visible only to you.
  2. Add dashboards, trackers, audiences and resources.
  3. Publish to admins (optional) — other admins can see it while you prepare.
  4. Go live — every draft dashboard and tracker in the campaign is published at once.
  5. Close — answering stops on every tracker in the campaign.
  6. Duplicate for the next round — a fresh draft copy for next time.

Create a campaign

  1. Campaigns › New campaign. Enter a name, description, start and end dates and optionally a banner image. Without a banner, the card and hub use a coloured gradient.
  2. Create. You land on its edit page.
  3. Under each list, Add the dashboards, trackers and audiences that belong to it. Dashboards and trackers already in another campaign aren't offered.
  4. Under Resources, upload files such as briefing PDFs. Copy public link gives a download link that works without signing in, so only upload what's safe to share.

The campaign hub

Open a campaign's card to see its hub: banner, description and dates; its dashboards and trackers with quick links to Results, Responses and Links, audiences, resources and recent activity. Manage opens the edit page.

Going live

Click Go live. A message confirms the campaign is live and how many drafts were published. Officers can now see the dashboards (subject to each dashboard's Who can see this), and editors can answer the trackers.

Closing

Click Close campaign. Tick Expire the links too to stop all tracker links working as well. After closing, tracker blocks show Closed and buttons read History. Answers are kept.

Closing archives any draft trackers and brings every open tracker's close date forward to now. Dashboards are not changed and stay readable. Resources can be up to 20 MB each and are either Admins only (download needs sign-in and is logged) or Public link. Only an empty draft campaign can be deleted.

Next round

On a campaign, choose Duplicate for the next round and give it a new name. You get a draft campaign with draft copies of the dashboards and trackers (same questions, no answers), the same audiences, banner and resources. The original campaign and its answers are untouched.

Campaign creation, publishing, duplication and resource downloads are all recorded in the audit log.

Troubleshooting campaigns

Problem

Why

Fix

Other admins can't see the campaign

It's a draft visible only to you

Publish to admins

A dashboard or tracker isn't offered to add

It's already in another campaign

Remove it from that campaign first, or duplicate it

Officers still can't see the dashboard after Go live

Its Who can see this excludes their role

Edit the dashboard's sharing

Go live published something too early

Go live publishes every draft in the campaign

Archive that item, or remove it from the campaign before going live

Trackers stopped taking answers

The campaign was closed

Closing stops every tracker in it, including ones also shown on other dashboards; contact support if a tracker needs reopening

Links still work after closing

Expire the links too wasn't ticked

Revoke all on each tracker

Next round copies have identical names

Duplicates keep the names

Rename each copy (dashboard and trackers) for the new year

Resource link opens for anyone

Resource links are public by design

Only upload files that are safe to share
