An audience is a named group of members, such as Reps or Voted in ballot that dashboards count, compare and filter by. Audiences are the building blocks for metrics, filters and tracker links. You need an Admin or Super admin account.
Before you start
1. Check it doesn't exist already. Open Audiences and search the list. Reusing an audience keeps figures consistent across dashboards.
2. Decide which kind of audience you need:
Source | How members get in | Updates | Use it for |
|---|---|---|---|
Automatic (derived) | Everyone in your membership upload, or everyone whose workplace has a member of another audience | Every 10 minutes | All members (built in; can't be deleted or changed) |
Dynamic | Members matching rules you set | Every 10 minutes, immediately on save, and after relevant uploads | Anything you can describe: reps in London, members without a rep |
File upload | A CSV of membership numbers | Only when you upload; a new file replaces the whole membership | Lists held elsewhere: ballot returns, pledge forms |
Communicator (Movement / Ringround) | A saved search in Communicator | Hourly, or Refresh now | Live lists from your organising system |
1. Name your audience. The reference autopopulates based on the name. You can add a description, but that is optional.
2. Choose which way to group this audience by either members or workplaces.
How to Build a Dynamic Audience
Example: Trained reps (workplace reps who have completed training).
- Go to Audiences › New.
- Name: Trained reps. Reference:
trained-reps. Description: Workplace reps who have completed rep training. The description shows to other admins, so say where the group comes from. - Choose Members.
- Choose the Dynamic source and click Create. You land on the audience's page.
- Under Who's in it, add the first condition by clicking the +Add Condition button: Use the dropdown menu to select the condition either from the Member or Workplace options.
- You can then select is or is not and then select from the dropdown menu to finish the condition. At the bottom right of that section, you will see the numbers change to reflect the condition.
- If required, you can add more conditions. The count will change as more information is added.
- When you have finished adding in all your conditions, go to the right hand side of the window and click on Save Changes. If you wish to delete the audience, you can delete it using the Delete Audience button.
- Click back to the Audience Home Page and you will see the new audience listed along with it's status
The audience now appears in the list with an orange Dynamic chip and its member count.
Every condition you can use
Condition | Matches members who… | Example |
|---|---|---|
Role | Hold one of the chosen roles | Role is Workplace rep or Health & safety rep |
Member field / attribute | Have a value on their own record (yes/no, a choice, or a number range) | Has been trained = Yes |
In audience | Are in another audience | In Pledged to vote |
Area | Sit in chosen regions, districts, branches, employers or single workplaces | Area is London; or is not one named workplace to leave it out |
Workplace phase / type | Work in a workplace of that phase or type | Phase is Secondary or Sixth form; Type is Academy |
Workplace attribute | Work somewhere with that uploaded value or tracker answer | Safe at Work survey: Risk assessment is Out of date |
Area attribute | Work under a branch or employer with that tracker answer | Pay round 2026/27: Offer made? = Yes |
Workplace audience | Work in a workplace that's in a workplace audience | Workplace is in Risk assessment on file |
Workplace has someone in | Work somewhere with at least one member of an audience | Workplace has someone in Reps |
How conditions combine
- Each new condition narrows the group (AND). Members must match every condition.
- Several values in one condition widen it (OR). Phase is Primary, Secondary = either.
- "is not" reverses a condition. Change is to is not on the condition.
- Number conditions take a minimum, a maximum or both.
- Workplace conditions only include members who have a workplace.
- Up to 12 conditions per audience. The editor refuses rules that point at a missing audience or loop back on themselves.
How to Build a File-Upload Audience
- Prepare the file. A CSV with one membership number per row. Save as CSV UTF-8, and keep leading zeros by formatting the column as text.
- Go to Audiences › New.
- Choose Members, then the File upload source.
- Upload the CSV and save.
- When the upload finishes, check the member count. Any membership numbers that didn't match a member are listed; the rest are still added.
Updating it: upload the new file on the same audience. It replaces the old list, and dashboards update automatically, so there's no need to make a new audience each time.
How to Build a Communicator (Movement) Audience
- In Communicator / Movement, find the saved search and copy its search ID.
- In Dashbuilder, Audiences › New.
- Choose Members, then the Communicator source, and paste the search ID. Save.
- Click Refresh now to pull the list. Wait for the run to finish; a second click while it's running is refused.
- If the refresh fails, the page says why in words. A connection error means Communicator isn't set up for your organisation yet; contact support.
Safety check: if a refresh would shrink the audience by 90% or more, the run fails and the old members are kept. A drop of 25% or more completes with a warning. This stops a broken saved search from emptying your dashboards.
How to Build a Workplace Audience
Some groups are workplaces, not people (for example Workplaces with a risk assessment on file). Choose Workplaces instead of Members in step 3 and upload a CSV of workplace codes. Use it as a dashboard filter, or inside a member audience with the condition Workplace audience.
Combined Audiences for One Dashboard
If you need "all of these", "any of these" or "none of these" audiences for a single dashboard, build it in that dashboard's Audiences step as a composed audience rather than in the Audience Library.
Check your Audience
- The count is in the range you expected. If it's 0 or suspiciously large, revisit the conditions one at a time.
- Spot-check: in Admin › Data › Members, look up two or three people you know should be in it.
- The description says where it comes from and, for files, the date.
- The active/paused switch is on (paused audiences don't update).
Use It
- On a dashboard: pin it in the builder's Audiences step, then build metrics from it, such as a count or a percentage.
- As a filter: add it as a yes/no filter so viewers can show or hide its members.
- In other audiences: use it in an In audience or Workplace has someone in condition.
- For tracker links: issue personal links to everyone in it.
Managing Audiences
- Health: the Audiences list shows each audience as healthy, running, failing or stale (not refreshed in over twice its usual interval), with its last and next refresh. Filter the list by source, schedule or health to spot problems.
- Active/paused: the switch saves immediately. Paused audiences are skipped by the scheduler.
- Editing: change conditions any time and save; every dashboard using it updates.
- Reference: shown but can't be changed. To rename the audience, change its name only.
- Refresh now appears only for Communicator audiences; re-upload file audiences instead.
- Deleting: asks you to confirm. System audiences such as All members, and any audience used by a metric or dashboard, can't be deleted. The edit page lists Used in dashboards.
Troubleshooting audiences
Problem | Why | Fix |
|---|---|---|
Live count is 0 | Conditions contradict, or is not is on the wrong one | Remove conditions one by one and watch the count |
Count is far too high | Alternatives were put in one condition (OR) | Split them into separate conditions (AND) |
Members without a workplace are missing | Workplace conditions skip them | Expected; check the members upload has workplace codes |
File upload count is lower than your list | Some membership numbers didn't match | Check the unmatched numbers; often lost leading zeros or members not yet uploaded |
A tracker answer isn't offered as a condition | The tracker has no answers yet, or you're looking at a different copy | Check the tracker name |
Two identical options in a picker | A tracker was duplicated without renaming | Rename the copy (e.g. Pay round 2027/28) |
Communicator refresh fails | Connection not set up, or a refresh is already running | Wait and retry; contact support if the error mentions the connection |
Refresh failed with a big drop | The safety check stopped a 90%+ drop | Check the saved search in Communicator, then refresh again |
Audience shows as stale | It hasn't refreshed in over twice its interval | Check it's active; try Refresh now; contact support if it persists |
Can't delete an audience | It's a system audience or used by a metric or dashboard | Remove it from those first |
Save is greyed out |
| Make a change first |
